Letter of recommendation, or reference letter, is usually written within 500-600 words, whether it is an academic LOR or professional LOR. While the content-specifics vary for courses and types of LOR, the basic letter of recommendation format remains the same for all programs.
Letter of Recommendation Format
The Letter of Recommendation format can be divided into three sections: Introduction, Content Body, and Conclusion. Let’s discuss in detail the letter of recommendation format on the basis of these three sections:
Section I: Recommender’s Introduction
- The introductory paragraph of the Letter of recommendation begins with brief information on the recommender's portfolio or credentials such as name, organization, title, city, and his/her relationship with the candidate. It should include specific details of the nature and length of the relationship.
- The recommender should draw a comparative narrative of the applicant against other students/colleagues, linked with the frequency of contact, and the number of people he/she supervised with or the class size he taught.
- The recommender can consider answering the following questions while writing this section:
- For how long have you known the person and in what way?
- Please specify what activities or tasks, has the referee witnessed you doing? These tasks can include projects, classes taken, extracurriculars supervised, etc.
Section II: Highlighting Candidate’s Qualities and Skill-set
Ideally, recommenders must discuss at least 2-3 qualities of the candidates which stood out for them. It is expected of the recommender to provide a detailed and accurate description of the qualities which must be substantial and impressive. Possible qualities and skills include Research aptitude, Leadership skills, Conceptual Experimentation, Innovative thinking, and Organizational and teamwork skills. The following questions should be answered for each mentioned strength:
- What strength does the candidate possess?
- How did you (the person providing the reference) become aware of this strength? Please give an example to illustrate.
- What kind of positive impact did this strength create?
Ideally, an LOR should also mention one area of improvement for the candidate, adding a sense of realism instead of exaggeration. This can include habit of multitasking, inability to say no, improper planning, inability to delegate, etc. The following questions should be answered while writing this section:
- What is the candidate’s weakness?
- How did this weakness has a negative impact on the candidate?
- How did he realise this shortcoming? What was your (the refree’s) role in guiding and supporting the candidate?
- How has he been actively addressing the weakness and what improvement has this brought?
Tip 2: Keep it authentic and realistic. Focus on candidates' qualities but do not totally negate the areas of improvement which you (recommender) think are relevant.
Section III: Conclusion
In the end, the recommender is required to summarise the student’s strengths, weaknesses, observations, deductions, and finally an enthusiastic endorsement of the applicant.

I would like to take this opportunity to write a letter of recommendation for Ms. Mehak, who is applying for the Master's program in Business Administration at your esteemed institution. I have known Mehak for over three years and can confidently say that she has a strong interest and talent in the field of business and management. I hope that my feedback about Mehak will help the admission committee assess her qualifications for the program. She was very consistent with her grades throughout college. She received the proficiency award in 1st and 2nd years. She actively participated in class, showing great enthusiasm and attentiveness towards learning. As her teacher, I taught her various subjects, and she always showed a genuine eagerness to understand the concepts, often asking questions to clarify her doubts. Although Mehak is a versatile and dedicated individual, her inclination towards perfectionism sometimes hindered her decision-making process and caused delays. She would often spend excessive time perfecting minor details of a project, leaving less time for more important aspects. I noticed this when she struggled to submit an assignment on time despite her dedication and hard work. I addressed this issue with her, advising her to prioritize tasks and meet deadlines. She made conscious efforts thereafter and learned to focus on the bigger picture, enabling her to submit projects before the deadline. I have witnessed Mehak’s zeal to accept challenges and work hard to overcome them. I have also seen her tackling challenges without hesitating. You should ask for a letter of recommendation from someone with who you have a good relationship, who has witnessed your academic performances and achievements and can give a good assessment on it. Choose good relationships over designations. Don't ask your friends or family to write a reference letter for you, specifically ask your professors or previous employers to write a Letter of Recommendation.
